SOUTHENDHALL TERMS AND CONDITION
Security deposit: A security deposit is payable by You at the time of booking. We will charge You for any damages caused which exceed the security deposit. The security deposit will also be used if the event overruns the agreed time. This is charged at an hourly rate of £300 if the event overruns for longer than that covered by the security deposit. You are liable to settle this bill on the day of the event or there will be an additional charge of £25.00 per day until the outstanding balance is cleared. This is at Our discretion.
A contract is only formed between you and us when the security deposit payment has been received. No booking application shall be binding on us, and no contract shall be formed unless and until we send your booking confirmation. Payment of your security deposit confirms that you are accepting our Terms & Conditions. For any reason payments are not made by the due date we reserve the right to charge an interest of 10.5% of the due amount.
Our venue is available at the times shown on the contract. Any extension of time will incur additional charges. A reduced time will not result in any reduction of the charges being levied and You will be charged on the basis of the time shown in the contract.
Full payment must be paid at least 14 days prior to function date.
25% from the total amount is to be paid within 7 days from the date of booking.
Security deposit and any form of advance payments will not be refunded upon cancellation at any time.
No changes or alterations to the booking or decorations and other services provided by the management can be made within 14 days of the event.
If the full payment is not paid at least 14 days before the date of function, the management has the right to cancel the hirers’ function without further notice at such cancellation, any monies paid will not be refunded.
The security deposit can be collected 7 days after the date of your event else an appointment is to be made one day prior to collection. The Hirer is to provide the account details to which the security deposit is to be refunded.
Proof of ID e.g. A passport or driving license with a recent utility bill is required at the time of booking.
The hirer will during the period of the hiring be responsible for the supervision of the premises, the fabric and the contents, their care, safety.
from damage however slight or change of any sort and the behavior of all persons using the premises whatever their capacity including supervision of car parking arrangement, so as to avoid obstruction of any exit (emergency or otherwise) ad of the highway.
The hirer shall not subject or use the premises for any unlawful purpose or in any unlawful way, or to do anything or bring on the premises anything which may endanger the same or any insurance policies in respect thereof.
At the end of the hiring period (end time) the hirer is expected to leave the premises and surrounds in a tidy condition and any item temporarily removed from its original position should be properly replaced. Users of the kitchen facility are requested to remove from the premises all bottles, containers, confectionary, trays etc., by the end of the hiring period etc. within any part of the hall otherwise the management has the right to charge for such removals or disposals. No presents or musical instruments to be left overnight. The hall does not except any responsibility for loss or damage for your personal items/belongings. The hirer shall agree to terminate the proceedings at such a time as will allow of the hall being vacated at the hour stated on the application.
The management always reserves the right of entry to the hall.
Fire extinguishers are provided within the hall, situated at each exit doors along with Fire Alarm activators. In case of Fire activate the alarm
and instruct your guest to evacuate the building 9see Fire procedure Instructions by the emergency exits) and call the fire Brigade.
Hirer is responsible for music for their event, the management will not provide, refer, or suggest any form of music services to the hirer. It is
the hirer’s responsibility that all volumes are kept to the legal levels.
The management will not in any case sell alcohol to hirer, the hirer may use his alcohol at his expense for his private function.
Environmental Protection Service has applied conditions of amplified music as follows
- No amplified sound or live music to be played outside the premises after 20:00 hours.
- All windows and doors to be closed after 22:00 hours except for access or egress when amplified music is present in the hall. (Noise controller in operation; this will cut off if the noise level inside is over 70 decibels)
- Noise should be inaudible at the nearest property aft 23:00 hours.
- Please ask your guests to respect the residents by not making excess noise when leaving the area.
- The hirer is responsible for taking measures to comply with the above.
The hirer must make sure that any electrical equipment brought into the hall is in good and safety order. Please note that RCD’s fitted in the building and will trip out if faulty equipment is plugged in. Failure to comply with the above will result in the hirer being liable to a maximum penalty of £10,000.
CHILDREN’S PARTY
The hirer will take all responsibility for the safety of children who attend the party and make sure that entertainers whom they hire are suitable for the purpose.
Note: the hire of any bouncy castle or such like is the responsibility of the hirer. We advise you to have someone always supervising the use of this kind of equipment and take adequate insurance for any damage or injury that can occur. Nutridabbah Ltd will not be held liable for the receiving end of the item so you should make sure that you organize the delivery at the start of your booking time.Chairs and tables will only be supplied according to the customer’s request mentioned in the ‘guest level’, additional chairs or tables that are requested will be charged as follows: chairs- £1.50, tables-£4.00
Should you agree to clean* up after your function, it must be done within the time frame [end time], no additional hour will be given. Should extra hours be taken for this, you are liable to pay the per hour rate charge plus penalty
Should you wish to alter the date of your function, three months’ notice must be given to the management in writing. The management upon availability may alter the date [only permitted once], however a 25% of your total amount must be paid to secure the date.
Outside decoration or decor companies are not permitted in our premises. The decor will only be provided by us.
All decoration must be finalised at least two weeks prior to you function.
The management has the right to cancel your booking due to any unforeseen reason eg. Fire, water, gas leakage, electrical faults etc.
The management has a right to refuse or remove anybody whose behaviour is considered intolerant or unreasonable and will prosecute you the hirer if is necessary.
Inappropriate behaviour to our staff whether verbal or physical will lead to cancellation of your booking, and the person concerned will be prosecuted.
Bouncers or guards must be provided by the hirer when hiring for public events, the hirer is responsible for the safety of their guests’
It is the hirer’s responsibility to place all rubbish into the bins ( labelled Newham London and situated in the Management’s carpark), no rubbish is to be left inside the premises or outside in the carpark.
Fireworks: In accordance with “The Fireworks Regulations 2004” Any type of Fireworks display (including sparklers) are strictly prohibited. Breach of the Fireworks Regulations may result in prosecution by the Local Authority.
We reserve the right to stop any activity which we reasonably believe is likely to cause damage to the interior or exterior of the venue or to risk the safety of people at the Venue.
No pets, other than guide dogs, hearing dogs and other assistance dogs, no pets or other animals are allowed in the Venue.
A party who is not a party to this Agreement has no right to enforce or rely on any term or condition of this Agreement under the Contracts (Rights of Third Parties) Act 1999 or otherwise.
External caterers & contractors are not permitted to use the venue’s facilities for the washing and rinsing of their utensils, cutlery, and crockery. We do not allow cooking on the premises.
I have read, understood, and agree to the terms and conditions set by Southend Hall above. I agree that by making
the security deposit payment. I bind to the terms and conditions mentioned above. The above has also been verbally
explained. Should I breach the above clause the security deposit will be non-refundable.
